Contentverse Enterprise Content Management Integration with SAP HANA

SAP HANA is an in-memory database which means that all data exists in memory (or RAM) rather than on disk. This makes data retrieval much faster than if it were stored in other standard relational databases available in the market.  Operations may be 10 to 1000 times faster on an SAP HANA database than on other database engines on the same hardware.

The integration enables incoming documents, processed by a Contentverse Easy Index module, to be searched, a lookup trigger value defined and passed to SAP HANA. SAP then leverages the combined data stored from other line of business applications, near instantaneously, to automatically populate the metadata required in Contentverse. This dramatically decreases the time required to automatically file and index each document, while at the same time dramatically increasing the volume of documents that can be processed at any one moment in time.

Al Rawabi utilizes the Contentverse front-end capture module EasyIndex to process many types of business content such as Delivery Notes, Cash Invoices, Credit Invoices, Goods Summary Reports, Good Returns, etc.  They currently process approximately 17,000 documents per day utilizing the Contentverse EasyIndex solution.

The Contentverse Document Management System is able to connect to SAP HANA databases utilizing their industry standard Open Database Connectivity drivers to access data.  In addition to the automated process of EasyIndex with SAP HANA, manual lookups from Contentverse can be accomplished on the fly utilizing triggered processes.

The EasyIndex module for Contentverse extracts the trigger values using a variety of methods from the designated areas of the document to query the SAP HANA database. The required document metadata is then auto-populated. These include OCR zonal extraction, barcodes, reading values from a list, or even recognizing data from checkboxes (OMR), as well as a number of other methods to retrieve data via EasyIndex.

Contentverse is a powerful solution for completely automating the indexing of documents in an organization.  Best of all, as the name EasyIndex implies, the features available in EasyIndex are simple to configure and use. There is a built-in wizard which walks users through the entire operation of creating a job to process files.

With this new integration, Al Rawabi is well positioned to expand the usage of Contentverse EasyIndex throughout the company. The solution will be able to handle a much larger import volume of documents without any additional enhancements to their system.  By leveraging the integration with SAP HANA, Contentverse can now be used as a document repository for data processes with other SAP applications.
